Knowledge bases and training platforms can be used in many different ways. At ScreenSteps we do our best to tie our pricing to the value your organization is receiving from it. This allows you to scale your costs gradually and to make sure that you are getting a significant return on your investment.
The sections below will describe how pricing is determined for each use case.
How is pricing determined?
If you are a contact center then your agents will be making heavy use of workflow articles. These will guide your agents through each interaction saving you weeks of training time for new agents while increasing productivity for your existing agents.
The pricing for contact centers is very straightforward. You will pay monthly or yearly fee based on the number of active users in the system each month. You can assign permissions to each user as you see fit. All users are billed at the same rate.
To get a quote, just let us know how many total agents, authors, and admins will be using ScreenSteps on a monthly basis.
What if I go over my number of monthly active users?
You will be billed a overage charge for each user over your account limit.
When you are using ScreenSteps for internal operations you may have some users that rely on ScreenSteps heavily, while others will only need it infrequently. To help account for this we have two types of users:
- Standard users
- Light readers
Standard users are anyone who accesses the admin area, a course, or the Google Chrome Extension. Light readers are anyone who just accesses the published knowledge base.
To get pricing, just give us two numbers:
- How many people will need access to the admin area, Google Chrome Extension, or Courses on a monthly basis
- How many people will only be accessing the published knowledge base on a monthly basis
We will then give you a quote for a certain number of standard users and light readers.
What if I go over my number of monthly active users?
If you go over by a little bit in a given month we will just send you a notification suggesting that you upgrade your plan. If you go over second month then we will require that you upgrade to a new plan level that matches your usage.
We work with many B2B software vendors who need to onboard and train their customers as well as provide ongoing support.
Typically in these situations, a customer will use ScreenSteps heavily while they are being onboarded and then use the service less and less as they become more comfortable with your product.
To help account for this we have two types of users:
- Standard users

What if I do not require my customers or partners to login to my site?
If you do not require your customers or partners to login to your site then you only be charged for the admins and authors on your account. But the average per user cost will be higher than if you are requiring all users to login to view content (since only your authors will count against your total users).
What if I go over my number of monthly active users?
If you go over by a little bit in a given month we will just send you a notification suggesting that you upgrade your plan. If you go over second month then we will require that you upgrade to a new plan level that matches your usage.
We have many customers that use ScreenSteps to ensure a successful adoption of a new software platform in their business. In many cases this training period will be limited to just a few months.
To match this usage pattern we offer 3, 4 or 6 month subscriptions. Your price will be based on the number of users you will training on the new platform.
What happens at the end of my subscription?
At the end of your subscription you have three options:
- If you want to continue using ScreenSteps to improve your employees' productivity then you would switch to an Internal Operations model (described above).
- If you want to pause your account so that you can keep the content for when a new training will be needed, but don't want to pay for ongoing users then we can put the account in maintenance mode for a small maintenance fee. When you are ready to train a new group of users you can activate it again.
- If you want to leave ScreenSteps you can export all of your content as PDF or HTML files and cancel the account.
What if I go over my number of monthly active users?
You will be billed a overage charge for each user over your account limit.
If you are an educational institution then your pricing will depend on whether or not you are requiring users to login to view your content.
For public sites (no login required)
You will be quoted a price based on the number of admins and authors on your account. The per user cost will be higher than if you are requiring a login for all users who access your content, but since you will only be counting your authors, your total price will be lower.
For sites that require a login
You will be quoted a price based on the number of Standard users and light readers you anticipate needing.
- Standard users have access to the admin area, courses, and the Google Chrome Extension
- Light readers only have access to the published knowledge base
If you will not be sending your employees or customers to your published ScreenSteps site you will be quoted a price based on the total number of admins and authors who will be using your account.
What if I go over my number of monthly active users?

The Standard Plan includes:
- Standard articles
- Desktop Authoring tool
- Cloud-based knowledge base
- Reporting
- Single Sign-on integrations
The Advanced Plan includes everything in the Standard Plan, plus the following:
- Workflow Articles (decision trees)
- Interactive Checklist articles
The Enterprise Plan includes everything in the Advanced Plan, plus the following:
- Customized onboarding for your team
- An Account Manager

Payment options
Monthly Billing
If you choose monthly billing you will need to pay via a credit card that will automatically be charged each month.
Contact our sales team and we will send you a form to enter your payment information. After you enter the information, your account will be activated and your account will be billed every month. You can cancel at any time.
Annual Billing
- Annual subscriptions can be paid via credit card, check, or wire transfer
- You will be sent a quote for your annual plan. Once you electronically sign the quote, your plan will be activated and you will receive an invoice for payment.
